The Challenge

While different communication means are widely available today, many companies, including Scopic, still opt against using third-party tools. Effective internal communication allows for easy collaboration and sharing of ideas over chats, calls and video conferences. In addition, a branded company communication tool ensures the security of both company and client data, keeping all the correspondence within the organization.

The Vision 

Our CEO Tim Burr, wanted to create a VoIP communication tool that would be developed with custom features by Scopic themselves. He wanted to have an application that would allow for group chats, one-on-one conversations, video/audio calls along with the option of screen sharing.

The Solution

Kreo was created by the Scopic team as a VoIP communication tool that’s similar to Skype. It was custom developed to ensure seamless and secure communication among Scopic employees around the world. Built with third-party chat engine Pubnub and call servicer Twilio, the app supports both one-on-one and group chats, voice and video calls, and screen-sharing. It also features an exclusive set of animated emojis to help users demonstrate reactions.

Scopic teams currently use Kreo for internal discussions; future versions of the app will see the inclusion of clients and other external parties. This app provides our workforce with a more streamlined and secure communication workflow.

Creating effective employee training programs requires significant effort, but also generates feasible value for both the company and the employee. To capture the training’s success and to determine further areas of improvement, it is necessary to track the employee training progress. However, without all the data being pulled into a central location, it proves challenging to pinpoint how the training program or the employee training performance can be improved.

The Vision

Scopic sought to create a powerful solution that would enable its employees to continuously gain new skills and expertise. We envisioned an all-in-one platform that would help create, assign, and assess the progress of employee training. We also wanted the Training System to allow the users to access the information about the offered courses and for the company to monitor the training budget.

The Scopic Solution

Scopic’s Training System is designed to monitor the progress of training assignments and provide tools for managing training budgets.

The Training Library is one of the components of the Scopic’s Training System. It is the area where users can find information about the offered courses and pick the ones they are most interested in.

The training itself is conducted via two study types: Training and Practical Task.
The Training study type is suitable for employees looking to acquire new skills about a particular technology. Once the training coordinator grants access to the learning resources, the trainee starts with the course. Trainees provide progress reports that are synced with the time tracking system, making it simple for the coordinator to monitor the training budget.

The Practical Task study type is designed to create a cohesive flow of actions between the trainee, the training coordinator, and the trainer. This study type is used when the trainee is working on a practical task after completing the training. The Practical Task displays the following information: progress achieved, assignment details, improvements requested, trainer’s feedback, EOD history, and the final score from the trainer.

The employees also have an option of following a Training Path. The Training Path is a consecutive chain of study assignments that allows the employees to develop a full set of skills in a particular domain. The Training Path is multipurpose, adapted to specific training needs, and different seniority levels.

The Scopic Solution

The Scopic Time System (STS) is an internal tool built to facilitate HR and Finance operations. Employees can log their hours, document task progress and report idleness using this application. It also allows project managers to review and approve the time logs which have been submitted by their team members.

Once approved, Scopic’s HR team utilizes STS’ time log data for auditing, billing, and reporting. Using Javascript, MySQL and other technologies, our team of expert web developers brought this full-service HR ecosystem to life. Since creating this platform, it is used daily by all employees, allowing various departments to seamlessly coordinate the reporting, approval, payroll and invoicing of employees’ billable hours.

To reinforce our mission, Scopic aimed at handling server management issues by taking the matter in our own hands. We aimed at getting information in real-time which would increase productivity as the number of servers increased and cut costs.

The Scopic Solution

We developed DSSP as an internal tool that allows Scopic teams to create and manage project servers independently. With this application, Scopic developers can set the server specifications they need to build fast and effective software. In addition, management can quickly review data related to project servers. This tool significantly cuts down on staff time spent configuring servers and analyzing related expenses.

Recently, our backend experts applied a new Scopic infrastructure that allows us to share server resources and reduce the overall cost of our infrastructure. Performance Review Notes (PRN) is an internal HR management tool that streamlines the process of conducting employee quarterly performance reviews. The software synthesizes information from digital HR files and other internal tools to collect targeted feedback from project managers, technical supervisors, and other colleagues who have worked closely with an employee. Reviews can be compiled on an annual basis, three months preceding the review or for specific projects.
