The Challenge

While different communication means are widely available today, many companies, including Scopic, still opt against using third-party tools. Effective internal communication allows for easy collaboration and sharing of ideas over chats, calls and video conferences. In addition, a branded company communication tool ensures the security of both company and client data, keeping all the correspondence within the organization.

The Vision 

Our CEO Tim Burr, wanted to create a VoIP communication tool that would be developed with custom features by Scopic themselves. He wanted to have an application that would allow for group chats, one-on-one conversations, video/audio calls along with the option of screen sharing.

The Solution

Kreo was created by the Scopic team as a VoIP communication tool that’s similar to Skype. It was custom developed to ensure seamless and secure communication among Scopic employees around the world. Built with third-party chat engine Pubnub and call servicer Twilio, the app supports both one-on-one and group chats, voice and video calls, and screen-sharing. It also features an exclusive set of animated emojis to help users demonstrate reactions.

Scopic teams currently use Kreo for internal discussions; future versions of the app will see the inclusion of clients and other external parties. This app provides our workforce with a more streamlined and secure communication workflow.

Transforming the Budgeting Processes Within Company Departments

The Company Budget Challenge

At the end of each yearly quarter, companies go through the painful process of budget planning, monitoring, and feedback sharing. Without the right tools in place, the procedure can be very time-consuming and inaccurate. And since there are multiple departments in Scopic, there were too many employees who were involved in budget processes. So we needed a way that would simplify this. Here is what we were looking to achieve:

Budget Planning – different employees in each department needed to submit, modify or approve budgets according to their roles.

Budget Monitoring – department heads and employees needed to view the actual usage of the budgeted amounts on a daily basis and to be notified when reaching budget limitations.

Budget Feedback – at the end of each budgeting period, employees needed to assess variations in actual versus planned expenses and provide comments.

So there was a need for software that would streamline these processes and provide us with a more productive workflow.

The Vision Behind the Tools

Once Scopic realized the need for an automated company budgeting solution, we decided to build an innovative piece of software. Our mission was to create Budget Planning, Budget Monitoring, and Budget Feedback internal tools. These would be built to facilitate the communication between the heads of the departments and the CEO when it comes to the budgeting process.

Through the Budget Planning tool, users would be able to submit, change, and approve budgets. Once the budgets would be in place and approved, employees could view the actual usage of the budgeted amounts on a daily basis through the Budget Monitoring tool. The latter would also send reminders about reaching budget limitations to the point of contact which would allow for prompt interventions whenever necessary.

The Budget Feedback tool would be used at the end of each budgeting quarter and would help assess variations in actual versus planned expenses.

The Scopic Solution

Scopic, being a software development company, decided to take the initiative upon itself and build these tools. Our development team created these cross platform solutions from scratch using three Microsoft 365 products: Microsoft Flow, PowerApps and PowerBI. Some of our activities involved:

When envisioning the app, Scopic was inspired by their own experience in managing resources and projects. The goal was to create a tool that automated the company’s project kickoffs and facilitated the coordination of resource assignments.

The Resource Management Tool (RMT) is an internal application used by Scopic’s Operations team. This tool manages personnel training assignments and consolidates the information the company has on the employee’s skills, interests, training, assignments, etc. In addition, the tool provides special APIs which the company consumes within other applications (such as Klipfolio) to gather and analyze department-relevant information. Integrated with the company’s extensive network of internal tools, RMT is synchronized with many of the other tools such as Scopic Time System, Zoho CRM, Zoho People, and Teamwork.

The Scopic Solution

The Scopic Time System (STS) is an internal tool built to facilitate HR and Finance operations. Employees can log their hours, document task progress and report idleness using this application. It also allows project managers to review and approve the time logs which have been submitted by their team members.

Once approved, Scopic’s HR team utilizes STS’ time log data for auditing, billing, and reporting. Using Javascript, MySQL and other technologies, our team of expert web developers brought this full-service HR ecosystem to life. Since creating this platform, it is used daily by all employees, allowing various departments to seamlessly coordinate the reporting, approval, payroll and invoicing of employees’ billable hours.

To reinforce our mission, Scopic aimed at handling server management issues by taking the matter in our own hands. This would help practice constructive work culture with employees and, at the same time, avoid all inefficiencies that organizing servers separately bring. We aimed at getting information in real-time which would increase productivity as the number of servers increased and cut costs.

The Scopic Solution

We developed DSSP as an internal tool that allows Scopic teams to create and manage project servers independently. With this application, Scopic developers can set the server specifications they need to build fast and effective software. In addition, management can quickly review data related to project servers. This tool significantly cuts down on staff time spent configuring servers and analyzing related expenses.

Recently, our backend experts applied a new Scopic infrastructure that allows us to share server resources and reduce the overall cost of our infrastructure. Future versions of the Developer Self Support Page will reveal the infrastructure details and will add support for custom container deployments.
